Specimen Transport
Specimens move under documented chain of custody, in validated temperature conditions, with the packaging standard recorded on the run sheet. Every handoff is signed and timestamped.
Sentinel Medical Transport Services runs specimen, pharmaceutical and supply logistics across the DFW east corridor on documented procedure — every handoff recorded, every requirement tracked, nothing riding on somebody's memory.
Signed custody record on every handoff, every time
Contracted routes and after-hours by arrangement
PHI stays on the requisition, never in software
Services
Specimens, pharmaceuticals, supplies and dedicated routes — each one handled to the same documented standard, run after run.
Specimens move under documented chain of custody, in validated temperature conditions, with the packaging standard recorded on the run sheet. Every handoff is signed and timestamped.
Temperature condition confirmed at pickup and again at delivery, with a signed record of both. Secure handoff to a named recipient, not a front desk.
Not every pickup fits a standing schedule. Same-day runs are booked, dispatched and documented to the identical standard as contracted routes — no shortcut version.
Restocks and inter-facility transfers on a schedule your team sets, tracked the same way as regulated payloads.
A locked window, a documented route profile, and standing instructions recorded for your facility — your dock, your contact, your handling requirements — so service does not depend on who is driving.
Every transfer signed and timestamped, retained and producible on request. When an auditor asks, the record exists.
How It Works
A clear, repeatable process — the same on a one-time run as on a contracted route.
Reach a person, not a phone tree. Set up a single run or a recurring route.
Confirmation with pickup details and an ETA. Your route profile and standing instructions are already on file, so nothing has to be re-explained.
Correct temperature condition, correct packaging standard, custody captured at every handoff.
A signed delivery record with condition notes. Filed, retained, and available when you need it.
How We Operate
Most small couriers run on one person's memory. It works until someone is sick, a route changes, or a renewal date passes unnoticed. Sentinel runs on documented procedure and automated monitoring — the infrastructure a national carrier has, at the scale of an operation that is already in your corridor.
Written SOPs for handling, packaging, temperature control, incident response and escalation. Every run follows the same procedure regardless of who is driving it.
Certification and insurance dates are tracked automatically and alerted well before expiry. Lapses are a scheduling failure, and scheduling is not left to memory.
Signed, timestamped, retained. Produced on request without a search.
Documented route profiles, standing instructions and contingency procedures mean a vehicle problem or an unavailable driver is a handled event, not a missed pickup.
A one-van courier normally cannot afford this kind of infrastructure. We can, because the monitoring, scheduling and record-keeping are automated rather than manual. That is the whole reason a local operation can hold a national's standard.
Illustrative example. Every run is documented like this.

Service Area
A local operation across the DFW east corridor — with the documentation and scheduling of a national carrier.
Already in the corridor when you call
A Dallas-based courier spends 30 to 45 minutes just reaching Rockwall. We are already here.
Your requirements are on file, not in someone's head
Dock location, access instructions, contact, handling requirements and time windows are recorded in your route profile — so service is consistent regardless of who runs it.
A direct line to a person
No phone tree, no overseas call centre, no ticket number.
Built for where the corridor is going
Routes planned around US-80, I-30 and FM-548, with the corridor's growth in mind.
Texas Health Forney opens fall 2027
The corridor is growing, with Texas Health Forney opening in 2027 and new medical office space coming with it. Sentinel is building capacity for it now.
Compliance
How every run is handled — documented, monitored, and producible on request.
Sentinel operates as a HIPAA business associate, is trained and accountable, and signs a BAA with every facility as part of standard onboarding.
Our dispatch and documentation systems record logistics only — facility, time, temperature, specimen category. Patient identifiers stay on the sealed requisition inside the bag and never reach our software. It is an architectural boundary, not a policy promise.
Category B specimens are transported to UN3373 packaging standards, with the packaging standard recorded on the run sheet. Category A infectious substances are not accepted.
Validated coolers matched to the payload — ambient, refrigerated, or frozen — with condition recorded at pickup and delivery.
Tamper-evident handoffs, signed and timestamped end to end.
HIPAA and OSHA bloodborne pathogens training, tracked with renewal dates monitored automatically so currency is never a question.
FAQ
Blood, urine, tissue, swabs, cultures, pathology slides — most UN3373 Category B biological specimens. Category A infectious substances are not accepted.
Two ways. Training and a signed BAA with every facility — and, more fundamentally, our systems never receive patient data in the first place. Dispatch and documentation records carry logistics only: facility, time, temperature, specimen category. Patient identifiers stay on the sealed requisition.
Validated coolers matched to the payload requirement: ambient, refrigerated, or frozen. Condition is recorded at pickup and at delivery.
Home base is Fate, and the corridor covered includes Rockwall, Royse City, Rowlett, Wylie, Forney, and Kaufman. Contracted routes across DFW are available on request.
Yes. Named windows, a documented route profile, and consistent service built around your facility's schedule.
You receive confirmation at pickup and a signed proof of delivery with condition notes. For time-critical runs, contracted clients have a direct escalation contact rather than a tracking page.
Standard hours are Monday through Friday, 7:00am to 6:00pm. Contracted clients can arrange time-critical and after-hours service as part of their service agreement. Sentinel does not offer walk-up urgent service and does not publish a guaranteed response time.
A medical courier is trained and equipped to handle regulated medical materials — lab specimens, pharmaceuticals, and patient-related documents — under HIPAA chain-of-custody and biohazard handling requirements. A regular courier service is not trained or equipped for these regulatory standards. Sentinel maintains HIPAA and OSHA bloodborne pathogen training with renewal dates monitored automatically.
Specimen transport is the secure, time-sensitive movement of laboratory specimens — blood, urine, tissue samples, and pathology materials — from a collection site to a reference laboratory, performed under documented chain-of-custody procedures to preserve sample integrity and patient privacy. Sentinel handles Category B biological specimens per UN3373 packaging requirements.
Yes. As a HIPAA-compliant medical courier, Sentinel Medical Transport Services signs business associate agreements with all client facilities as part of standard onboarding for any service involving protected health information.
Reach out through the quote form on this site or email dispatch@sentinelmedicaltransport.net. We'll discuss your facility's pickup frequency, locations, time windows, and handling requirements, then build a recurring route around your specific daily schedule.
For contracted routes we may use vetted partner couriers who meet the same standards we do — HIPAA-trained, insured, and operating under our documented procedures and chain-of-custody requirements. Every partner signs a BAA and carries their own liability coverage naming Sentinel. Facilities that require a Sentinel-employed courier on every run can specify that in their service agreement.
Renewal dates are tracked automatically and alerted well ahead of expiry rather than relied on from memory. Current certificates are available to any client on request.
